Job Summary and Mission

This position contributes to Starbucks success by providing support of a confidential and complex nature to one or more leaders and by coordinating the day to day general office administration in a regional office. May direct the administrative support functions of a regional office. Handles confidential and non-routine information. Carries out activities following general guidelines demonstrating the ability to perform effectively with limited direction. Models and acts in accordance with Starbucks guiding principles.

Summary of Key Responsibilities

Responsibilities and essential job functions include but are not limited to the following:

  • Provides administrative support to one or more leaders. Proactively manages calendars with attention to accuracy, detail and allocation of time and resources to promote productivity and successful execution of goals and objectives. Recognizes the need to reprioritize as appropriate if business initiatives change and acts independently to realign leader priorities
  • Serves as a primary point of contact for the regional office. Answers questions, directs requests to appropriate partners and works with other partners effectively to exchange information. Acts as a host or facilitator for meetings and escorts visitors
  • May organize and direct the work of coordinators and/or receptionists in a regional office
  • Organizes office operations such as workspace assignment and layout
  • Screens and directs incoming phone calls, composes and types general correspondence
  • Preforms general administrative activities including organizing and maintaining filing systems, processing of paperwork, invoices and expense reports and prioritizing, distributing and acting on mail
  • Coordinates administrative tasks and projects such as tracking budgets, invoice coding, tracking travel expenses, generating reports and identifying variances, updating databases, etc
  • Prepares charts, tables, graphs and other presentation materials
  • Schedules manager domestic and international travel in compliance with existing policies and procedures May coordinate travel for large groups of partners for regional events
  • Schedules and coordinates complex meetings, training, seminars and activities
  • Organizes and schedules team and department meetings; may take meeting minutes, arrange for live and telepresence audiovisual equipment and set up meeting facilities
  • Coordinates projects or phases of projects; ensures that the projects achieve the expected results within the specified timeframe and on budget
  • Identifies and implements processes to improve workflow, organization and communication
  • May manage large mailings or distribution of materials
  • May order and replenish department/team supplies
  • Maintains regular and punctual attendance

Basic Qualifications

  • High School diploma/GED
  • Five years of experience as an administrative assistant or coordinator
  • Providing simultaneous administrative support for one more leaders and/or a team
  • Four years of experience managing calendars and email on MS Outlook
